Programs and workshops may be cancelled if minimum registration is not met. In such cases, participants will receive a full refund. If the Shilo MFRC must cancel a program or workshop for any reason, including but not limited to staff illness, inclement weather, etc., participants will be contacted, and a refund will be issued where applicable. (This excludes the cancellation of a drop-in where the participant has purchased a membership).
If a program is full, you may choose to be placed on a waiting list. Placement on the waiting list does not guarantee a spot. Participants will be contacted only if a space becomes available.
If a participant requires staff to store, administer, or supervise the administration of medication, the participant or parent/guardian must complete a medication authorization form. Please contact the MFRC for details and required documentation.
All MFRC buildings and program spaces are nut free and scent free. To help keep everyone safe and comfortable, please avoid bringing nut products or wearing scented products when visiting our facilities. Many of our participants and staff have allergies or sensitivities, and your cooperation helps us maintain an inclusive environment for all.
Participants or parents/guardians must inform MFRC staff of any severe allergies and the need for an auto-injector. To support a safe environment, the MFRC follows allergen-aware practices. Participants requiring an auto-injector must provide the device and complete the appropriate waiver forms.
Participants or parents/guardians are encouraged to share any special requirements or accommodations needed prior to the start of the program. MFRC staff will work with families to support accessibility whenever possible.
ROOTS Youth Centre memberships are non-transferable and remain valid from the date of purchase until the listed expiry date.
To ensure a safe and welcoming environment for all participants and staff, inappropriate behaviour—including aggressive conduct, harassment, foul language, or intentional damage to MFRC or personal property—will not be tolerated. The Shilo MFRC reserves the right to take appropriate action, including suspension or removal from programs, when behaviour violates MFRC guidelines or CFB Shilo policies. Parents/guardians will be contacted if a minor engages in behaviour that puts themselves, other participants, or staff at risk.
