Renter may use the facility for the purpose specified in the agreement. The renter must have written approval from the Town of Lamont to sublease, assign, subcontract or transfer the use of the space. Arena ice rentals are not permitted to be subleased or subcontracted. Renter must be a minimum of 18 years of age to book and is responsible for communicating agreement terms and addendums to all participants as well as ensuring adult supervision is provided during the entire length of the booking.

Compliance with Laws

Renter must abide by all Municipal, Provincial and Federal laws, regulations, and bylaws, and will obtain, at own expense all necessary permits, licenses, and approvals.

Online Contests . From time to time, we sponsor games and sweepstakes online. To participate, we ask for your name, address, and email address, so we can notify you if you win, and may ask for other information. These online contests are optional. Helpdesk / Online Support . When you contact our Helpdesk by phone, we ask for your name and phone number. When you contact our Helpdesk over the Internet, we ask for your name, phone number and email address. We may require further information in order to provide you with support. We retain your support history in order to provide faster and more accurate assistance. This information is stored on an internal database which is only accessible by certain personnel and is password protected.

Services Provided by the Town of Lamont

The facility will be cleaned and prepared prior to your rental. If additional cleaning or set-up/take-down is required, it will be charged at a rate of $100/hour. A flat-rate fee of $100 will be charged for any events requiring the use of the round tables at the Hall. The Renter may choose to set up and take down chairs and rectangle tables on their own or pay a flat fee of $100 at the Hall and $50 at the Meeting Room or Hall Lobby to have Town Staff set up and tear down. If Town staff is required for the rental, the fee is $30 per hour.

Meeting Room

The cooler, stove, and microwave will be available for your use. A coffee urn (30 cup) can be provided upon request; renters must provide their own coffee supplies. No other kitchen equipment or utensils will be available to the renter.

Alcohol and Host Liquor Liability

If liquor is served, it is the responsibility of the renter, at its sole cost and expense, to arrange for and ensure that a Host Liquor Liability or Party Alcohol Liability (PAL) Insurance Certificate is obtained with a minimum amount of $5,000,000.00, with Town of Lamont as additional named insured. An Alberta Liquor License is also required. Alcohol must be only consumed within the licensed rentable area. The renter must provide proof of insurance and liquor license to the Town three (3) days prior to the event/access and all permits and or licenses must be posted during the event.

Events with Liquor or past 11 pm

A flat fee of $150.00 will be charged for any event running past 11 pm or serving liquor. The flat fee is charged for each day that the rental goes past 11 pm or that liquor is served. This $150.00 fee includes staffing for the last 4 hours of your rental.

Caterer

All functions using the Hall must be catered by the Lamont Catering Club. Only food prepared by Lamont Catering Club will be served in the Hall - no exceptions. Functions in the Meeting Room, Curling Rink Lounge, and Picnic Pavilion may be self-catered, catered, or use other food service providers, in compliance with local Health regulations.

Catering Deposit - Hall

The Catering deposit of $600 for catering in the Hall is to be made payable to the Lamont Catering Club can be left at the Town Administration Office, 5307-50 Avenue, Lamont. The deposit must be paid by cash or cheque.

Hall Lobby Furniture

Should the renter request or the Town deem necessary, to have the lobby furniture removed for a function; a fee of $100.00 will be charged. If the lobby furniture is left during the event and is damaged in any way, the cost will be applied to the rental invoice.

Admittance and Vacating premises

No early admittance will be allowed unless approved by the Town of Lamont prior to booking. Any additional set up items required need to be arranged at the time of booking and will be charged accordingly. Rentals are to be vacated by rental end time as stated in the agreement. The renter shall have the right to use the facility on the dates and times listed on the rental agreement. The premises MUST BE VACATED NO LATER THAN the hours stated, which includes removal of all displays/decorations, gifts, liquor, bands/DJ, and any personal property or effects. Should the premises continue to be occupied outside the rental hours, additional fees will be charged as follows: Overtime rate is $50.00 per half-hour, and overtime past 3 am is $100 per half-hour.

Arena ice rentals:

In consideration of all Users, arena dressing rooms are made available a minimum of 30 minutes prior to each ice slot booking. Users will have 30 minutes to vacate their dressing room after their booking is finished.

Emergency Procedures:

Report all incident/accidents to Town staff immediately and follow the Town’s Emergency Procedures as instructed by staff. Call 911 if necessary.

Conduct:

Rental customers must abide by all facility regulations posted, provided, and/or otherwise noted. All youth must always have adult group supervisors (18 Yrs. or older) in attendance. The Town of Lamont has the authority to evict anyone deemed to be creating a disturbance, or acting in an unsafe manner, and may in its sole discretion terminate this agreement immediately. In the event of a conduct incident, action will be taken as per the Town of Lamont Customer Code of Conduct Policy 12-23.

Damage / Additional Cleaning Charges:

In the event of facility or equipment damage, and/or additional cleaning charges required as a result of the use or abuse of the facility; the Town and/or facility manager will determine or estimate the extent of the additional cleaning or damage, and the renter will be charged accordingly.

Responsibility/Damage:

The renter agrees to hold harmless and indemnify the Town of Lamont, its servants and agents from any liability for any property damage, personal injury or death to any third party or other financial loss or expense, including legal expenses and costs (on a solicitor and his own client basis) which arise out of or during the use of this facility under this rental contract, except for the negligence of the Town of Lamont. The renter is responsible for securing and ensuring the removal of any and all property owned by the renter which also includes removal of all displays/decorations, gifts, liquor, bands/DJ, and any personal property or effects from the facility no later than the designated time as per the rental agreement.It is also the responsibility of the renter to obtain any licenses or permits required by Alberta Gaming and Liquor Commission and/or any other licensing agency. The renter must pay for all damages to facility or furnishings, however caused, arising out of or during the use of this facility under this agreement. Future agreements will not be considered for any group or individual that has an outstanding account with the Town of Lamont in this regard. The renter shall be responsible for personal injury or damage, or for the loss or theft of any property of the renter or anyone attending at the invitation of the renter.

Payment:

Payment of the final invoice must be paid in full to the Town within 30 days after the conclusion of the event otherwise interest charges will apply, and all applicable costs will be applied to your credit card.
