1. Program Cancellations by the RM

If the RM of St. Clements cancels a program due to insufficient enrollment, instructor unavailability, or any other reason, participants will receive a full refund or credit for the program fee.

2. Participant Withdrawals

2.1 Before Program Start

• Withdrawals made 14 or more days before the program start date will receive a full refund, less a $10 administrative fee.
• Withdrawals made 7-13 days before the program start date will receive a 75% refund or full credit.
• Withdrawals made 1-6 days before the program start date will receive a 50% refund or 75% credit.

2.2 After Program Start

No refunds or credits will be issued once a program has started, except in extenuating circumstances (see section 4).

3. Refund Requests

• All refund requests must be submitted in writing to recreation@rmofstclements.com or in person at the RM office.
• Please include the participant's name, program name, and reason for withdrawal.
• Refunds will be processed within 10-14 business days of approval.

4. Extenuating Circumstances

4.1 Medical Reasons

• Full or partial refunds may be granted for medical reasons with supporting documentation from a healthcare provider.
• The refund amount will be prorated based on the number of classes attended.

4.2 Relocation

• Participants who relocate more than 30 km from the program location may be eligible for a prorated refund with proof of new address.

5. Transfer Policy

• Participants may transfer to another program up to 7 days before the original program start date, subject to availability and any price differences.
• A $5 transfer fee will apply.

6. Missed Classes

No refunds or make-up classes will be offered for sessions missed by participants.

7. Weather-Related Cancellations

If classes are cancelled due to inclement weather or facility issues, every effort will be made to reschedule. If rescheduling is not possible, a prorated refund or credit will be issued.

8. Special Events and Workshops

One-day events, workshops, or programs less than four weeks in duration may have separate cancellation policies. Please check the specific event details.

9. Right to Refuse

The RM of St. Clements reserves the right to refuse a refund that does not meet the above criteria.
